Find the rating plate before you shop for anything

The information you need is on a metal or foil label, usually on the side of the outdoor unit near the electrical panel, and on the indoor unit inside the door or on the cabinet side. Photograph both labels. Get the full model number and the full serial number, character for character, including letters that look like numbers.

Why the serial matters as much as the model: manufacturers make running changes mid-production. Two units carrying the same model number, built two years apart, can take different control boards, different fan motors or different pressure switches. A parts counter matches on both.

While you are there, capture three more things. The electrical data on the plate, which tells you voltage and phase. The refrigerant type stamped on the plate, which affects what components are compatible. And the indoor unit’s model, because on a split system the parts you need are frequently on the indoor side even when the symptom appears outdoors.

If the label is weathered into illegibility, which happens fast on the North Shore and anywhere near salt air, check inside the electrical access panel for a second label or the wiring diagram, and check your original installation paperwork or permit records.

Not everything fails at the same rate here. The pattern we see across Metro Vancouver and the Fraser Valley is shaped by damp, salt, organic debris and long shoulder seasons of continuous mild-weather running.

Run capacitors are the most common single failure and behave predictably: the unit hums but the fan or compressor does not start, or it starts only if the fan is nudged. Contactors pit and burn from arcing, and in coastal areas corrosion accelerates it. Outdoor fan motors and their bearings fail from moisture and years of runtime. Defrost control boards and defrost thermostats fail more here than in drier climates simply because they cycle more often.

Reversing valves and their solenoid coils are a recognisable failure category too, showing up as a system that heats but will not cool, or the reverse. Pressure switches, thermistors and sensors drift or corrode. Condensate pumps and float switches on indoor units clog with the biological growth that damp basements encourage.

On the indoor side, blower motors, particularly ECM modules, and control boards are the usual suspects. On dual-fuel systems the gas furnace brings its own list: igniters, flame sensors, inducer assemblies and gas valves.

Compressors do fail, but far less often than the parts protecting and controlling them.

OEM, aftermarket and universal: what the difference costs you

OEM parts come from the manufacturer’s own supply chain with the factory part number. They fit, they match the original specification, and on a unit still under parts warranty they are typically what the warranty claim requires. That last point gets overlooked and it matters.

Aftermarket equivalents are made by third parties to match form, fit and function. For genuinely generic components, capacitors of the correct rating and physical size, standard contactors, common fan motors, a good aftermarket part is a sensible choice and is often available same day when the OEM part is not.

Universal parts are where trouble starts. A universal control board or universal ECM motor needs configuration: jumpers, dip switches, programmed profiles, sometimes a harness adapter. Installed without matching the original specification, a universal blower motor can move the wrong volume of air, which on a heat pump degrades capacity and drives backup heat usage. It runs. It just runs worse, and nobody connects the higher bill to the repair.

Proprietary items, communicating control boards, variable-capacity inverter drives and matched sensors on modern platforms, generally have no credible aftermarket equivalent. Use OEM.

One unbreakable rule regardless of source: match the electrical specification exactly. Voltage, microfarad rating, horsepower, rotation, terminal configuration. Close is not a specification.

Warranty, registration and what it does not cover

Manufacturer warranties on heat pumps typically cover parts, and typically require registration within a set window after installation. Unregistered systems often fall back to a shorter base term. The part most homeowners misunderstand: a parts warranty covers the part. Air filters. Straightforward, and the highest-value maintenance item you own. Match the size printed on the frame and respect the restriction level your system was designed for. Note the airflow direction arrow.

Batteries in a battery-powered thermostat. Obvious but genuinely a common no-heat call.

Condensate line cleaning and replacing an accessible condensate trap or drain line where the fitting is simple and outside the electrical cabinet.

Outdoor unit hail guards, coil covers where the manufacturer supplies them, and the mounting pad or vibration feet, provided the electrical is untouched.

A basic thermostat swap on a conventional low-voltage system, if you are careful, photograph the existing wiring first and confirm the new thermostat supports heat pump operation with the correct number of stages and a reversing valve output. Be aware that communicating Carrier systems using proprietary control protocols will not work with a generic thermostat, and installing one can leave you with a system that partially runs and quietly costs more.

Skipping any of those steps introduces moisture and non-condensables that kill compressors months later.

Capacitors deserve their own warning. They store a dangerous charge after the power is off. People are seriously injured by them every year. The fact that a capacitor is cheap and easy to physically swap is exactly what makes it dangerous.

Contactors, disconnects, wiring, breakers and anything on the line-voltage side. Control boards and inverter drives, both because of the voltage and because they usually need configuration to match the equipment.

ECM and variable-speed blower motors, which need correct programming or airflow suffers.

Defrost boards, sensors and reversing valve solenoids, because installing them is trivial and diagnosing them correctly is not. Replacing a board that was never the fault is a common and expensive mistake.

Everything on a gas furnace in a dual-fuel system. In British Columbia, gas work must be done by a TSBC-certified gas fitter. Not a preference, a legal requirement.

There is no single rule, but there is a useful way to think about it.

First, what failed. A capacitor or a contactor is routine wear on a healthy machine and says almost nothing about its remaining life. A failed compressor, a leaking evaporator coil, or a reversing valve on an older system says a great deal, because those repairs are major and the rest of the machine has aged alongside them.

Second, age against expected service life, and whether the part is still available or already superseded.

Third, refrigerant. If the system uses a refrigerant that has been phased down, the practical cost and availability of servicing it will keep climbing regardless of how the machine is running today.

Fourth, what else you already know. Rooms that never heat properly, a unit that leans on backup heat, noise complaints from a strata, an outdoor unit corroding through near the water. Those problems do not get fixed by a new control board, and they are the ones you would actually be solving with new equipment.
